Privacy policy
Last updated 8 September 2026
This policy explains what we do with the personal information you give us through this website. It is written to be read, not to be survived, so it is in plain English.
Who we are
Double Entry Digital is a trading name of WDL Digital Ltd, a company registered in England and Wales under company number 12944648. WDL Digital Ltd is the data controller for the information described in this policy, which means we decide why and how it is used.
You can reach us about anything in this policy at hello@doubleentrydigital.co.uk. We do not operate a walk-in office, so email is the fastest route. Our registered office is 124 City Road, London, England, EC1V 2NX. Post reaches us there, but email is faster.
What we collect, and why
We collect very little. There is no account to create and nothing to log into.
| What | When | Why | Lawful basis |
|---|---|---|---|
| Your name, practice name, email, phone number, regulatory body and anything you type into the message box | When you submit the quote form | To answer your enquiry and give you a price | Legitimate interests: responding to someone who has asked us to |
| Your WhatsApp display name, phone number and messages | If you message us on WhatsApp | To answer your enquiry | Legitimate interests, as above |
| Your email address and message content | If you email us directly | To answer your enquiry | Legitimate interests, as above |
| Pages viewed, time on page, approximate location at country and city level, device, browser and screen size, and how you arrived, such as a search engine or a link | Only if you accept analytics cookies, through Google Analytics 4 | To understand which pages are useful and which are not, and which are being found | Consent, which you can withdraw at any time |
| A randomly generated visitor identifier held in the _ga cookie in your browser | Only if you accept analytics cookies | To avoid counting one person's four page views as four visitors | Consent, which you can withdraw at any time |
We do not ask for, and do not want, any information about your clients. Please do not send client data through the enquiry form. If a project needs it later, we will agree that separately and in writing.
Who else sees it
We use a small number of suppliers to run the site and the business. Each one only handles what it needs to.
- Netlify hosts this website and receives form submissions. Netlify is operated by Netlify, Inc. in the United States, under contractual safeguards for international transfers.
- Google Analytics 4 receives usage data, and only if you accept analytics cookies. Our processor is Google Ireland Limited. Google Analytics 4 does not log or store IP addresses, and we have Google Signals, advertising features and data sharing switched off. Data may be transferred to Google LLC in the United States, which is certified under the EU-US Data Privacy Framework and its UK Extension, with Google's standard contractual clauses applying in addition. The cookie policy sets out the exact configuration.
- WhatsApp, operated by Meta, if you choose to message us that way. Their terms apply to that conversation as well as ours.
- Our email provider holds correspondence you send us.
We do not sell your data. We do not share it with advertisers. We do not add you to a marketing list because you asked for a quote.
How long we keep it
- Enquiries that do not become projects: 12 months, then deleted. Practices often come back a year later, which is the only reason we keep them at all.
- Enquiries that become projects: for the length of the working relationship and 6 years after it ends, which is the period we need for tax and contractual records.
- Analytics data: 14 months at user and event level, which is the longest retention Google Analytics 4 offers. Aggregated reporting totals are kept by Google beyond that and cannot be traced back to an individual.
- Your cookie choice: stored in your own browser, not on our servers, until you clear your browser data.
Your rights
Under UK GDPR you can ask us to:
- tell you what we hold about you, and give you a copy
- correct anything that is wrong
- delete it
- stop using it, or restrict how we use it
- send it to you or another provider in a portable format
- stop relying on legitimate interests, by objecting
Email hello@doubleentrydigital.co.uk and we will deal with it within one month. There is no charge.
If you are not happy with how we have handled something, you can complain to the Information Commissioner's Office at ico.org.uk/make-a-complaint or on 0303 123 1113. We would rather you came to us first so we can put it right, but you do not have to.
Security
The site is served over HTTPS. Form submissions are encrypted in transit. Access to enquiry data is limited to the people who need it to answer you. No system is perfect, and we will tell you and the ICO promptly if something goes wrong in a way that affects you.
Children
This site is aimed at accountancy practices. It is not intended for anyone under 18 and we do not knowingly collect data from children.
Changes
If we change this policy we will update the date at the top. If a change is significant we will say so on the homepage rather than hoping you notice.
Automated decisions and profiling
We do not make automated decisions about you, and we do not profile you. Nothing on this site scores, ranks or segments visitors, and no decision about your enquiry is made by software.
If you become a client
Once you engage us, how we handle personal data in the course of the work is governed by clause 14 of our terms of business. In short: for data on your own website's visitors you are the controller and we act as your processor, on your written instructions.
